Privacy Policy

This policy explains how CivicByte (“we”, “us”) handles personal information through TenderScout, in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth). By using TenderScout you agree to the handling of information as described here.
1. Information we collect
- Account information — your email address and authentication details.
- Business profile — the company details, capabilities, and preferences you enter to power tender matching.
- Uploaded documents — tender documents (RFTs, addenda, and attachments) you upload for analysis.
- Usage data — how you interact with the product, and billing status via our payment processor.
2. How we use your information
We use your information to provide and improve the service: to match you to relevant tenders, to extract requirements and generate draft responses, to manage your account and subscription, to provide support, and to send service and (where you have opted in) marketing emails.
3. Uploaded tender documents
Documents you upload are processed to extract requirements and generate drafts. To do this, we send relevant portions of the content to third-party processors that operate the AI and document-parsing components of the service (see below). We do not sell your documents or use them to advertise to you.
4. Service providers
We rely on trusted providers to run TenderScout. These include Supabase (database and storage), Vercel (hosting), Stripe (payments), Resend (transactional email), and AI/processing providers including Anthropic, Voyage AI, and LlamaParse. These providers process information only to provide their part of the service, under their own security and privacy commitments.
5. Storage and security
Your data is stored in our Supabase project with row-level security so that each account can only access its own records. We take reasonable technical and organisational measures to protect personal information, though no online service can be guaranteed completely secure.
6. Overseas disclosure
Some of our service providers store or process data outside Australia (for example, in the United States). Where that happens, we take reasonable steps to ensure the information is handled consistently with the Australian Privacy Principles.
7. Data retention
We keep your information for as long as your account is active and as needed to provide the service. You can request deletion of your account and associated data at any time by contacting us.
8. Your rights
You may request access to, or correction of, the personal information we hold about you, and you may ask us to delete it. You can manage your email preferences in Settings or via the unsubscribe link in any marketing email. To make a request, contact us at the address below.
9. Cookies
We use essential cookies to keep you signed in and to operate the service. We do not use cookies to build advertising profiles.
10. Changes to this policy
We may update this policy from time to time. Material changes will be reflected here with an updated date, and where appropriate we will notify you.
